The Reporting and Budgeting Manager is responsible for firm-wide managerial reporting and budget management. Job Duties:

  • Oversees annual firm-wide budget process. Work closely with key budget holders, both administrators and attorneys, to deliver a strategy focused budget.
  • Oversee the Firm’s business intelligence tool, ensuring accurate data and reporting
  • Reviews monthly analysis of G/L expense variances (vs. budget) and trends. Highlights key findings and presents to executive leadership.
  • Manage review of expense coding, ensuring correct allocation to departments, practice groups, and offices.
  • Oversee allocation of Firm-wide expenses as necessary to various departments, practice groups, and offices.
  • Oversees preparation of monthly reporting packages to the Firm members and Executive Committee.
  • Prepare semi-annual Equity Member and Member profitability reports.
  • Oversees preparation of monthly client and practice group profit reports, quarterly and annual multi-state profit statements, monthly timekeeper productivity and other management analysis.
  • Coordinate preparation of firm-wide cash flow projections.
  • Coordinates participation in various peer group surveys, provides summary reports of Firm comparisons to peer group, and analysis of underlying fundamentals.
  • Ad hoc analysis requests from attorneys and executive management.
  • Manages a team of three financial analysts.
  • Other tasks and projects at the discretion of the CFO.

Job Requirements:

  • Bachelor’s Degree in Business or Accounting.
  • Strong knowledge of various software, including Microsoft Excel, COGNOS (or similar business intelligence tools), SQL, and ERP systems.
  • Experience working in a Professional Services organization preferred.
  • A minimum of ten years of professional experience, with at least four years of experience directly managing employees.

Labor & Employment Paralegal

Candidates should have 5+ years of litigation experience. The Controller will be responsible for the daily oversight of these functions maintaining a high level of customer service, effective business professional management, and designing and implementing efficient workflow while maintaining strict internal controls. The Controller will also be responsible for local and firm-wide accounting operations including overseeing approximately 13 individuals spread over three office locations. This position has supervisory responsibilities for one or more individual(s) in the assigned department.

Job Duties:

  • Responsible for the overall management and processing directly or through Accounting Operations Department business professionals, including:
    • Accounts Payable
      • Vendor setup/maintenance
      • 1099 processing
      • Foreign currency payments
    • Ancillary Business Accounting
      • Maintain separate books and records for ancillary businesses
      • Manage intercompany billing and collection process
    • Treasury Management
      • Approve significant disbursements via check or wire
      • Manage and forecast Firm cash determining when to borrow from Line of Credit and/or transfer excess cash to interest bearing money market accounts
      • Maintenance of online access for all users
      • Maintenance of signature cards
      • Manage banking relationships
      • Monitor bank fees
      • Manage bank reconciliations for approximately 40 bank accounts
    • Cash Receipts Processing
      • Oversee recording client payments via Wire, ACH, Bitcoin, Check, Credit Card or Cash – approximately 36,000 payments processed per year.
      • Oversee/Administer on-site remote deposit module
      • Oversee/Administer credit card processing software, monitoring fees for reasonableness (Infintech/Transfirst software)
    • Client Costs Processing
      • Establish processes to record soft costs to client matters
      • Understand automated processes to post client costs for internal costs such as postage, UPS, and photocopies.
    • Corporate and Purchase Card Program
      • Oversee Firm corporate card program (VISA/AMEX)
      • Evaluate ongoing needs and recommend improvements
      • Oversee AMEX reward program
    • Escrow/Trust Account Management
      • Oversee/monitor trust/escrow transactions for compliance to Firm Escrow Policy and legal obligations
      • Oversee/monitor retainer trust accounts
    • General Ledger
      • Maintain GL mapping for automated journal entries
      • Maintain Firm chart of accounts
      • Oversee the monthly/year end close
      • Prepare account analysis on monthly basis to ensure accuracy of general ledger transactions
      • Active participation in the year end audit
        • Revenue testing
        • Bank confirmations
        • Operating expense testing
        • Payroll reconciliations
        • Adhoc reports as requested
    • Payroll
      • Basic Payroll knowledge of tax withholding, payroll deductions (including pre-tax deductions), HSA accounts, FSA accounts, and dependent care accounts
      • Monthly funding of HSA accounts
      • Oversee workers compensation related activities
      • Monthly ADP Reconciliation to the GL for the Profit Cube
    • Travel & Expense Reimbursement
      • Manage/oversee expense reimbursement module (Chrome River)
      • Establish/update routing rules for proper approvals
      • Adhoc reporting as needed
  • Perform and/or assist the CFO in key strategic projects.
  • Ensure the effective and efficient operation of all responsible functional areas.
  • Study and recommend improved systems and workflow designs.
  • Prepare and analyze special reports as requested by Firm management.
  • Work directly with managers within the Finance Department to ensure an efficient workflow among sub-departments.
  • Develop, implement, and maintain standard operating procedures and performance measures to ensure sound internal control environment.
  • Promote consistent levels of timeliness, accuracy, and completeness in work product and achieve stated performance measures.
  • Monitor ongoing processes and seek continuous process improvements to ensure efficient and cost-effective financial services.
  • Develop and implement integration solutions to incorporate day-to-day accounting activities of all offices.
  • Oversee and provide subject matter expertise on enterprise wide accounting operations initiatives.
  • Provide timely updates to senior finance management on issues and status of major projects including identification of potential risks and development of contingency plans that address issues as needed.
  • Bachelor’s degree required in accounting or other business-related major; advanced degree in related field preferred.
  • Licensed certified public accountant required.
  • 10+ years of previous experience in progressive roles. Professional service firm experience preferred.
  • Management experience in a professional office setting required.
  • A minimum of 5 years directly supervising five or more non-exempt and exempt employees simultaneously is required.
  • Excellent written and oral communication skills.
  • Strong interpersonal skills and ability to interact with many types of professionals.
  • Demonstrated ability to adapt to changing priorities and schedules.

This position will provide legal and administrative support for a minimum of three attorneys in the Louisville Office, with a focus on Business Combinations and Capital Transactions, Franchising, Finance, Real Estate, Mergers & Acquisitions, and Wealth and Estate Planning

The position requires an experienced corporate legal secretary with exceptional skills, including excellent administrative, communication and organizational skills. The candidate should have previous experience assisting attorneys with real estate transactions, buy/sell agreements, entity formations, franchise agreements, and tax issues as well as wills, trusts and estate matters. The candidate must have experience with electronic filing. The team player we seek must possess exceptional MS Word and intermediate level MS Excel and PowerPoint skills, as well as exceptional grammar, spelling, proofreading and attention to detail skills and a typing speed of 65 WPM. This individual must also have the ability to handle multiple tasks and become an integral part of client service. Job Requirements

  • Bachelor’s Degree or paralegal certificate or designations through an association with certification programs demonstrating knowledge and experience in the area of benefits (i.e. Certified Pension Consultant, Qualified Pension Administrator or Qualified 401(k) Administrator through the American Society of Pension Professionals and Actuaries; Enrolled Retirement Plan Agent, and Accredited Pension Administrator through the National Institute of Pension Administrators).
  • Minimum of 3 years of experience as a paralegal or in other legal/tax services roles.
  • Experience with the Internal Revenue Code and ERISA preferred.
  • Experience with health and welfare benefit compliance and familiarity with IRS and DOL rules including ERISA, ACA, COBRA and HIPAA preferred.
  • Working knowledge of the general retirement plan qualification rules under IRC Section 401 and ERISA preferred.

  • Proficient using Excel, Word and other database and document assembly software.
